Transforming contract management in the transport sector: the Iryo success story

The Spanish high-speed train company, Iryo, has succeeded in reinventing the way of traveling through its commitment to sustainability and technology. With their punctual, efficient and secure service, focused on people, customer experience and sustainable and digital connectivity, they have managed to gain a foothold in a highly competitive and constantly evolving market.

To achieve this, Iryo has been able to adapt to new technological trends, such as digital contract management, and has relied on tools such as Bounsel to carry out this digital transformation effectively. Patricia Domínguez, the company’s senior lawyer, tells us how they have managed to do it.

Previously, when she worked in Renfe’s legal department, her day-to-day life was very frustrating, there were many paper contracts, they continued to be stamped and signed by hand, checking each page. Being a company with a predefined processes, it was very difficult to propose any type of change, but she acknowledges that it was clear to her that contract management could be “made in a much more digital and modern way.”

All this changed when she joined Iryo’s legal department and realized the “lack of control in the contracts” and that Bounsel was the tool she needed to use together with the purchasing department to carry out greater traceability of operations, as well as being able to report to senior management and finance, among other uses. 

At Iryo they are currently preparing the launch of the activity in Spain scheduled for November of 2022 and managing a large volume of contracts for 106 suppliers, each of these documents includes annexes, attachments and purchase orders. All of this involves signatures from other team members, taking renewal dates into account, following the contract life cycle, adapting to changes in internal processes, and doing all of this manually was very complicated for them.

After starting to use the tool, Patricia reports that “with Bounsel it’s wonderful, you have everything organized, you give us the flexibility that we need internally”, especially since “the platform adapts to what we need at all times“.

Although she admits that she is an “excessively organized person”, who archived several versions of the same document present in long email chains and organized them according to her criteria, since she started using Bounsel “this is not necessary, with a single document it is enough, you don’t have v1 version, v2 version, final version and real final version”, plus the whole team thought it was great that “at a glance you can see the status of all documents without having to open, read and review them” whenever they need.

They have started to upload all their contractual documentation to Bounsel to have it organized and updated in real time and securely in the cloud. She also comments that it is “very easy to fill in only the data I need, without having to touch the rest of the document”, which really speeds up this repetitive job. They are also going to use it to automate the agreements they make with travel agencies.

Bounsel is a collaborative platform that allows you to work in real time with other team members and with external users. At iryo they have also taken advantage of this, they use it so that senior management, members of the finance and purchasing departments can approve, sign and fully monitor the life cycle of contracts.

And, although some of their colleagues were not used to signing online (they still did it on paper!), the advanced electronic signature with biometrics has given them a lot of security and they feel more and more “at ease” using it. Patricia tells us that even her colleagues from the legal team have reinforced her proposal, because they think that “it was about time for the legal department to modernize” with a productivity tool like Bounsel.

We asked Patricia about the main benefits that Bounsel has brought her and she has summed it up in one sentence: “Easy to work with and absolute control of all documents”. She has also added that Bounsel “makes her work more enjoyable”, “I found it very simple and easy to use”.
